This policy explains what personal information Roberts Bespoke Tailoring collects, why we collect it, who we share it with, how long we keep it and the rights you have over it. It covers this website, our online booking and AI chat assistant, and the information we hold about customers of our shop.

The information we collect and why

1. When you book an appointment online

We collect your name, email address, phone number, your chosen date and time, and anything you tell us about what the appointment is for. We use this to arrange your appointment, send you a confirmation and reminders by email, and contact you if we need to change it.

Lawful basis: taking steps at your request before entering into a contract with you.

2. When you become a customer

When you order from us we keep your contact details (name, email address, phone number and address), your measurements, details of your orders and fittings, photographs of garments and fittings where needed for the work, and invoices and payment records. We use this to make, alter and deliver your garments, to keep in touch with you about your order, and to keep proper business and tax records.

Lawful basis: performing our contract with you; and our legal obligation to keep financial records.

3. When you contact us

If you phone, email or message us, we keep the details you give us so we can reply and help with your enquiry.

Lawful basis: our legitimate interest in responding to enquiries.

4. When you use our AI chat assistant

The chat button on our website connects you to an automated AI assistant that answers questions using information from our website. When you use it we save:

  • the messages you send and the replies you receive, with the time of each;
  • your IP address and an approximate location worked out from it (usually a town or region);
  • the type of device and browser you are using, and the page you started the chat from.

We use this to provide the chat, to check the quality of its answers, to see what customers want to know so we can improve our website and service, and to prevent misuse.

Your messages are sent to Google, whose Gemini AI service writes the replies. We use Google’s free service tier, under which Google may use the content of chats to improve its products, and trained reviewers at Google may read them. Please don’t share sensitive information in the chat, such as health details or payment card numbers. For anything personal, please contact us directly.

Your approximate location is looked up on our own server using the DB-IP location database. Your IP address is not sent to an outside service for this.

Lawful basis: our legitimate interests in answering visitors’ questions, improving our service and keeping the chat secure.

5. Analytics and session recording (only with your consent)

If you click Accept on our cookie banner, we use:

  • Google Analytics to understand how many people visit our website, which pages they look at, how they found us and roughly where they are. It uses cookies and collects information such as your device, browser, pages visited and an approximate location.
  • Inspectlet to record how visitors use our pages: mouse movements, clicks, scrolling and the pages viewed, which we can play back to find parts of the website that are confusing or not working. Recordings may include what is typed into forms on the website.

Neither runs unless you accept, and you can change your mind at any time using the cookie settings link in the footer of every page.

6. Website security and technical logs

When you visit our website, our hosting and security systems automatically record technical information such as your IP address, browser type and the pages requested. This is used to keep the website running, protect it from attacks and fix problems.

You can also block or delete cookies in your browser settings, although parts of the website may then not work properly.

Who we share your information with

We never sell your personal information. We share it only with service providers who help us run our business and who may only use it on our instructions or under their own privacy terms described above:

  • Amazon Web Services: hosts our website and its database, in London.
  • Cloudflare: delivers our website quickly and protects it from attacks.
  • Google: provides the AI chat replies (Gemini), Google Analytics (only with your consent), the email service we use to send booking confirmations and reply to you, and some of the fonts on our website.
  • Inspectlet: session recording (only with your consent).

We may also share information where the law requires it, for example with HMRC, or to protect our rights.

Transfers outside the UK

Some of these providers (Google, Cloudflare and Inspectlet) may process information in the United States or other countries. Where they do, the transfer is protected by the UK–US Data Bridge or by the UK’s approved data transfer agreements.

How long we keep your information

  • AI chat conversations: deleted automatically after 12 months.
  • Appointment bookings with no order: up to 2 years, so we can see your booking history if you come back.
  • Customer records, orders and measurements: while you remain a customer, and for up to 6 years after your last order.
  • Invoices and payment records: 6 years, as required for tax purposes.
  • Emails and messages: as long as needed to deal with your enquiry, and no more than 2 years afterwards unless they relate to an order.
  • Google Analytics data: no more than 14 months. Inspectlet recordings: for the period set by our Inspectlet account, then deleted.
  • Security logs: usually a few weeks.

Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you and get a copy of it;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to us using your information where we rely on our legitimate interests;
  • ask us to transfer information you gave us to you or another organisation;
  • withdraw your consent at any time, where we rely on consent (for example to analytics cookies).

Some of these rights have limits. For example, we must keep invoices for tax purposes even if you ask us to delete them. To use any of these rights, contact us at [email protected]. If you are asking about an AI chat, please tell us roughly when it took place so we can find it. There is normally no charge, and we will reply within one month.

How we protect your information

Our website uses an encrypted (HTTPS) connection, access to customer records is limited to our staff and protected by passwords, and our systems are kept up to date. No method of sending or storing information is completely secure, but we take reasonable steps to protect yours.

Children

Our website and services are not aimed at children under 13, and we do not knowingly collect information from them online. Where we make garments for a child, we deal with their parent or guardian.

Complaints

If you are unhappy with how we have used your information, please contact us first and we will try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint, or call 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
